Discovery Engagement Proposal

Map how NXT Steel runs today, so it can scale into fabrication.

An audit that turns a proven, hand-run operation into a documented, faster system. The foundation for moving into fabrication, and in time the planned water-tank subsidiary.

Overview

A proven process, ready to be documented and accelerated.

NXT Steel is an established, profitable steel supply business. The process is effective, but much of how it operates is undocumented, held as individual knowledge rather than as a defined, repeatable system. That includes vendor selection, supplier pricing, and the markups applied to each deal.

Growth into fabrication depends on the core order process running faster while staying reliable, and on that knowledge being captured in a system. An earlier in-house effort to automate it stalled on the volume of edge cases, which is exactly where an independent audit adds the most value.

01Operating knowledge is not documented
Vendor selection, pricing, and markups of 20 to 30 percent sit with specific people rather than in a repeatable system, which limits how the business can scale.
02Every order is built by hand
Quotes, purchase orders, and delivery tickets are recreated manually for every order, which caps turnaround, the main constraint on moving into fabrication.
03No structure for custom items
Custom and fabrication items have no defined SKU, so customer-facing documents are inconsistent and the catalog cannot price fabrication cleanly.
04Orders and POs are not reliably linked
There is no single source of truth, so records are reconciled by hand and errors slip through.
The order lifecycle we map
1
Quote request
Arrives by email
2
Vendor quotes
Shopped to vendors
3
Customer PO
Won, tracked to vendor PO
4
Delivery ticket
Built, delivered, signed
5
Invoice
Raised in QuickBooks

Every order moves through these five stages. Today each one is handled by hand and re-entered along the way. The audit maps it end to end so it can run as one connected, repeatable flow, with QuickBooks remaining the system of record.

What you want

Where this gets you.

Operating rules and vendor relationships documented as clear, repeatable SOPs.
The core order process, from quote to invoice, running faster while remaining reliable.
A clean, structured catalog in QuickBooks that handles custom and fabrication items.
A prioritized plan separating quick wins from larger builds, validated by an outside expert.
A foundation stable enough to support fabrication and the planned water-tank subsidiary.
How we work

We map it, build it, then help you run it.

Map

We document how the operation runs today, end to end, and turn it into clear SOPs and diagrams you can build from.

Build

We build the system on top of that map, at a pace that suits your team, starting with the changes that add value soonest.

Run

We support you running it, with every hour on a weekly report and the system documented and owned by you.

Matt and Luana lead the engagement and the calls. Flavio, our senior technical lead, joins as the technical architect and builds the system.

Where we start

The discovery audit.

A structured audit of how NXT Steel runs today, turned into something you can hold, hand to a developer, or build from. It includes:

Working calls with your team, and with the CEO where it helps, to capture the operating rules, the vendor logic, and the markups.
A review of real examples: emails, quote requests, customer and vendor purchase orders, order confirmations, delivery tickets, invoices, the Airtable data, and the workspace already in progress.
A full map of the order lifecycle, drawn as clean diagrams we build and confirm with you.
The SOPs documented, including the catalog and SKU rules and how custom and fabrication items are handled.
A prioritized roadmap of quick wins and the larger build that follows, with a recommended technical direction.
What you walk away with

A written audit report: the current-state map, the documented SOPs, a proposed future-state design, the prioritized roadmap, and an implementation estimate.

Yours to keep, regardless of what happens next, whether the build proceeds with us, in-house, or with another team.
A note on the technical direction

Likely a simple custom interface on Supabase and Cloudflare, connected directly to QuickBooks so the estimates and purchase orders you already use stay central. That removes the dependence on Airtable and its limits, and keeps NXT Steel in full control of its own data. Confirmed during discovery.

What we'll need from you

To keep the audit efficient and accurate.

Time with the right people: your team, and the CEO where useful, for the discovery calls.
Representative examples: recent quote requests, purchase orders, order confirmations, delivery tickets, and invoices.
A look at the current setup: the existing Airtable data and the workspace already in progress.
A single point of contact on your side to coordinate access and answer questions.

Everything shared with us, including pricing, vendor relationships, and customer information, is treated as confidential.

Investment

Start with the audit, scale from there.

We work on a retainer. You deposit a prepaid balance, we draw it down only as we work, and any unused balance is always yours, refunded or rolled forward, never lost. Every hour appears on a weekly report, and if a phase is going to run long, you hear it first.

Recommended first step
$2,500
Discovery audit retainer
About 20 hours · 2 to 3 weeks · $125/hr

This covers the full audit and any small quick wins worth completing along the way, and you walk away with the written report and roadmap, yours to keep. It is the one step you approve to get started.

✓  Zero-risk: refunded in full if you are not satisfied in your first 10 hours

After the audit, most clients move into a monthly retainer to complete the build, at a lower locked rate. For a project of this size, Growth would likely carry it through to completion over roughly three months. We confirm the right plan as an output of the audit.

Project
$125/hr
$5,000 balance · no lock-in
Continue project by project, no monthly commitment.
Starter
$2,300/mo
20 hrs/mo · $115/hr
A tidy, working system with steady hands on it.
Growth Most popular
$4,200/mo
40 hrs/mo · $105/hr
Active month-over-month progress on the full build.
Scale
$7,600/mo
80 hrs/mo · $95/hr
An embedded team driving larger initiatives.

Monthly plans run on a 3-month minimum, then month to month, and an annual term locks the lowest rate. Unused hours roll over. This proposal is valid for 30 days from the date above.
